If you look at the Google doc link at the bottom of the person’s email, it’s a document signed by actual people and organizations in Chicago and beyond demanding various actions in preparation for the spread of coronavirus.
It’s not spam, but it is an approach some may find is going overboard.
We can’t know if this person attended our conference. An email name and address does not always reflect a person’s actual name. We should reply to this person as if they did attend, with kindness.
I feel strongly that we need to prepare a statement about coronavirus and have it ready in case anyone asks us- like this person. It can be simple, but should be our ‘official’ reply.
Going beyond that, what is our strategy if let's say, the virus starts spreading in Rogers Park next week? What if people cancel - presenters and attendees?
I think we, as the communications team, should draft something that conveys our awareness of the situation, ways we are addressing safety, and puts our attendees at ease.
